Job Description

 

I      JOB IDENTIFICATION

                      A.  TITLE:  Switchboard Operator

B.   REPORTS TO:   Switchboard Supervisor

C.   FULL-TIME: 30+ hours per week

 

II          STATEMENT OF PURPOSE

Operators are responsible for answering and transferring calls, operating paging, alarm, and related systems in a busy, 24/7 switchboard operation.  All operations must be conducted in a timely manner consistent with contract requirements, health care system procedures and AVRE policy and practice.

 

III         RESPONSIBILITY FOR WORK OF OTHERS

            None

 

IV        BUSINESS COMMUNICATIONS

            A:  Communication with VA hospital patients/customers is ongoing.

            B:  Communication with VA hospital staff is frequent.

            C:  Communication with Supervisor is frequent.

            D:  Communication with AVRE Chief Operating Officer is occasional.

 

V         SUPERVISION REQUIRED

The position requires operators to function independently in a structured environment. The Bronx location has an on-site, dedicated Supervisor and Lead Operator. The Mid-Hudson locations are managed remotely.

 

VI        EDUCATION REQUIRED

A high school diploma or GED is required.  An Associate’s degree or related technical training is preferred.

 

VII       TRAINING AND SPECIALIZED KNOWLEDGE REQUIRED

            A:  Superior customer service skills.

B:  Strong keyboarding skills with an ability to use various business software applications.

            C:  Clear enunciation and strong command of English language.

D:  Ability to apply and use appropriate access technology, if applicable.

E:  Excellent written and verbal communication skills.

 

VIII      SPECIFIC DUTIES AND RESPONSIBILITIES

A:  Provide efficient and courteous phone-answering services, responding to all calls within three rings.

B:  Process incoming and outgoing calls in a manner consistent with all security, safety, confidentiality, customer service, and quality requirements.

C:  Assist in placing outgoing calls using commercial or Federal systems within defined guidelines and requirements.

D:  Receive, dispatch, and document Code emergencies in strict compliance with VA policies and procedures

E:  Operate emergency, fire, security, and other alarm notification systems of the HealthCare system campus.

F:  Notify emergency, medical, security, fire, and other teams/personnel as to nature and location of emergency.

G:  Relay information through public address, paging, or other systems as appropriate.

H:  Assist, as appropriate and directed, to update/maintain computer files, duty rosters, directories, etc.

I:   Record and report to the appropriate authority, any and all equipment/system problems.

J:  Provide coverage when required due to unavoidable absence of another operator (may include 24/7 shift assignments)

K. The ability to travel independently to cover at the other switchboard locations is preferred.
